Executive Assistant to the CEO, Global HQ, Hong Kong
 
A company specialised in developing innovative educational products for the African market is looking for an Executive Assistant for the CEO based in Hong Kong.

They opened their doors nearly a decade ago. Now they’re leveraging their experience to scale their proven model across the continent: they’re increasing enrollment, opening new campuses, and offering a suite of other educational products to reach young learners and working professionals.

The Role:

We are seeking a master of all things administrative to support our CEO during a time of exciting change and growth. The Executive Assistant provides executive support in a fast-paced, mission-driven and results-oriented environment and will serve as gatekeeper, juggler, and first point of contact for the CEO. This role also serves as a liaison to the senior management team; organizes and coordinates executive outreach and external relations efforts; and coordinates multiple concurrent projects for the CEO.

Who You Are:
  • You can skillfully and energetically lead all administrative work for the CEO, including but not limited to: interfacing with staff in multiple countries, managing a chaotic schedule, booking & strictly monitoring complex domestic & international travel, organizing and prioritizing emails, creating presentations, organizing & updating contacts, placing calls & taking diligent notes, filing all correspondence & documents in their proper places, and a zillion other tasks.

You understand that the unexpected is a regularpart of your day, and you bring solutions to the challenges you encounter. What You Will Do:
  • General administrative duties including, but not limited to, scheduling meetings, managing the CEO’s calendar and appointments, corresponding with donors, expense reporting, and coordinating travel arrangements for the CEO
  • Coordinate the preparation, proofreading, production and distribution of reports, agendas, presentations and other documents as needed
  • Record and update the CEO’s activities and conversations in customer relationship management database (SalesForce)
  • Serve as backup to the President’s Executive Assistant for taking minutes during weekly executive team calls
  • Manage correspondence for the CEO, including thank you notes and acknowledgments
  • Other operational and administrative tasks as requested by the CEO


Requirements and Desired Qualifications

  • Undergraduate degree required combined with 1-3 years experience in a CEO support role
  • Motivated, proactive, self-directed problem solver; must be comfortable managing shifting roles and responsibilities – someone who does what it takes to get the job done
  • Strong written and verbal communication skills with an ability to communicate confidently and with empathy
  • Proven ability to communicate effectively with a cross cultural team
  • Intense sense of discipline and self-management
  • Comfortable with ambiguity; can handle the unexpected with flexibility
  • Highly organized, able to set priorities and manage multiple tasks at once
  • Forward-looking thinker, who actively seeks to understand challenges and opportunitiesand then proposes solutions and action
  • Working knowledge of Salesforce a plus
  • Willingness to travel internationally for the staff retreat once per year
